A guy who does mobile car servicing near Boksburg once sent us his quote template. sneakservices@gmail.com, the same address he used for his online banking, his Netflix, and his child's school. The quotes were fine. The email they came from told the customer that this could be anybody, on any day, from any country. Free email is a personal tool. A business running on it is renting its front door.
What free email actually costs
Three things, and none of them show on an invoice. First, trust: customers do not say no to a Gmail supplier out loud, but they hesitate, and a hesitation is a lost job. Second, deliverability: a lot of mail filters treat free-provider senders more harshly, so your quotes and invoices land in junk more often than you think. Third, and the one nobody plans for: control. When the account gets locked or compromised, the business loses its entire correspondence history, including the emails you need to prove who agreed to what. One of our first clients lost a tender that way. The paperwork existed. It just lived in an inbox nobody else could open.
The migration is a week, not a project
Get the domain, or use the one you already own. Create mailboxes on it: info@, the owner's name, accounting if there is one. Point the old Gmail at the new address with forwarding while you update everything that carries it: Invoicemailing, Google Business, your bank's alerts, the service providers who bill you. Then, and only then, retire the old address. The one thing people get wrong is impatience. Forwarding stays on for a month or two because a customer will always find the old address first.
